What is the event brief?

Today it’s the turn to talk about that big forgotten but essential “working paper” for any agency or producer as the brief is. Brevity. So brevity that in the most of cases we never see it. A fight for professionalization, for the client and agency’s desires giving a touch with the magic wand of reality. Is it whim of event planners? Absolutely NOT. Nor an obligation. But yes, it is a means or route to achieve realistic objectives without having to yaw and with the security that both parts are agree. Not only that, moreover, the elaboration of an event brief helps to conceptualize the ideas and it is a creativity source.

 It’s time to give a face to the event brief and talk about some of the features that this precious paper always should have to collect. No, don’t be scared with the word “paper”; with a simple pastern or email is more than enough.

  • What do we have on our mind? It’s time to descend to Earth and look the thousand of ideas we have. Maybe you are thinking of a Family Day, a team building event or maybe a themed party. But, what about if we sit down and decide which the best to our necessities are?
  • Whom I talk and where? Welcome to the experiences world, it’s over the passive public! This so permanent reality in the events world forces us to think and create customizable activities for all attendees, which is equivalent to know the number of interested and the most enabling venue to perform your event.

  • Let’s go with the objectives! Concretizing and defining are concepts linked to success. And it’s impossible to start if we don’t know where we are going. Surely you don’t have all clearly and the mere fact to draft will help you to prioritize main and secondary objectives. As an advice, all is about that your objectives are SMART: Specific, Measureable, Achievable, Realistic, and Timely.
  • Indoor or outdoor? North or south? Each need, a different answer. But we can’t play against meteorology. Although, as we saw in our last post about Backup plan, we always have to be on our minds an alternative solution. Moreover, defining the “when” helps, not only to plan the agency and client calendar, also to give a different point of view of the activities you want to perform. And don’t forget the chosen date. It depends on differente features. For example, the first days of the week usually are for more professional events, while the last days are more for events with a festive air. All those details must be in our event brief
  • Timing? Don’t be stricts. Maybe you don’t know what to answer. But it is good to consider the most appropriate months. The action plan will be developed at the same time the idea takes shape. It’s difficult to answer when and how if we depend on the external provider services. But even yet, after 20 years of experience on the sector, we invite you to create the way forward.
